Starting salary for this position is: $54,699 (Annually)

The salary range represents the earning potential for this position, through training, evaluations and years spent working in this position with CCS.

About Us 

We are a community college district comprised of two accredited colleges, Spokane Community College (SCC) and Spokane Falls Community College (SFCC). In addition to serving a large urban and suburban population in greater Spokane, the district provides educational services to rural communities throughout a 12,302 square-mile region in Eastern Washington. This region includes all of Spokane, Stevens, Whitman, Ferry, and Pend Oreille Counties, as well as portions of Lincoln County.

Both colleges of CCS are accredited by the Northwest Commission on Colleges and Universities and governed by the Washington State Board of Community and Technical Colleges.

About the Executive Assistant to the Chief of Culture, Talent Development, and Information Technology

This mission-critical position provides confidential, executive-level administrative support to the Chief of Culture, Talent Development, and Information Technology. This emotionally intelligent service-oriented professional is a member of a dynamic team dedicated to implementing the Community Colleges of Spokane (CCS) strategic plan and contributing to next-level thinking and innovative work that helps co-create a technology-forward, positive, and supportive teaching, learning, and workplace culture.

Consistent with the administrative policies, guidelines, and procedures of CCS, this position manages a multi-million dollar budget tracking system and implements best practices in project management client services, and event planning.

Duties & Responsibilities

  • Manage day-to-day office responsibilities and functions using lean principles to include monitoring of budgets, purchasing documents, contracts, licenses and workflows. *
  • Maintain the department’s websites and social media space, working with the Information Technology (IT) department management team to update and implement IT policies & procedures. *
  • Answer telephones, process mail, respond to inquiries from central management services clients, take meeting minutes, implement office procedures and ensure compliant records retention processes that lead to greater efficiency and effectiveness. *
  • Assist in budget planning and development; monitor and track all expenditures; process purchase requests; oversee the reconciliation of purchase requisitions, purchase orders, invoices and payments; make travel arrangements for department staff, process registration and prepare expense reports and reimbursement requests. *
  • Assign required cybersecurity training to new hires, vendors, contractors, persons of interest and other entities associated with CCS. Monitor training compliance and follow up as necessary. *
  • Assist the Chief in implementing division-wide onboarding plans for new IT professionals and development and retention plans for current team members, and may supervise support staff, interns, and work-study students. *
  • Cross-train to serve as backup in select fiscal specialist and project management office responsibilities to ensure fiduciary compliance and project completion. *
  • Support positive employee and labor relations efforts in a union setting. *
  • Coordinate State Board and ctcLink meetings, trainings, and events. *
  • Assist in special projects as assigned by the Chief. *
  • Attend meetings as a department representative as needed. *
  • Model professional decorum and mutual respect in all personal interactions. *
  • Comply with district policy, procedures and directives, state and federal regulations, orders and statutes and collective bargaining agreements.*
  • Support and advance the CCS strategic plan and perform other duties as assigned. *

Minimum Qualifications

  • Associate’s degree in Administrative Assistant, Accounting, Information Systems or closely related field from an accredited institution. Or an equivalent mix of education and experience that demonstrates the candidate meets all competency requirements for this position.
  • Three years experience supporting a dynamic, client-centered workplace.
  • Ability to use discretion, exercise sound judgment and strictly maintain confidentiality.
  • Ability to communicate well in writing, reflecting the editorial standards of an educational institution and professional workplace.
  • Ability to communicate professionally and discretely in all interpersonal interaction, reflecting the standards of an executive in high-stakes conversations.
  • Ability to manage and successfully execute multiple projects and meet tight deadlines.
  • Ability to represent the Office of the CIO using independent judgment and professionalism.
  • Ability to conduct research, compile and analyze qualitative and quantitative data.
  • Expert skill level using Microsoft Office applications.
  • Ability to understand, track, monitor, and reconcile multiple department budgets.

Conditions of Employment

  • Contract 12-month position.
  • This position is overtime eligible.
  • Criminal background check is required.
  • Requires local or regional travel.

Person hired must be able to provide acceptable documentation of U.S. Citizenship or lawful authorization to work in the United States. This is an absolute condition of employment. An offer of employment will not carry with it any responsibility or obligation on the part of the district to sponsor an H1-B visa. In addition, the Community Colleges of Spokane maintains a drug-free work environment and prohibits all smoking in the college buildings and state-owned vehicles. Must be able to successfully work in and promote a multicultural work and education environment.

Benefits Information

This is a contracted, exempt management position. Medical, dental life and long term disability insurance benefits are provided as currently administered under the Public Employees Benefits Board; TIAA-Cref retirement plan or WA State Retirement Plan. Vacation leave accrues at the rate of 14.67 hours per month (22 days per year) and sick leave accrues at the rate of 8 hours per month, effective upon employment. (For positions that are less than full time, leave accruals will be prorated to the percentage of the position.)
