Salary Range: $3,477 - $4,632

Starting salary for this position is: $3,477 (Monthly)

Employees hired at the entry step of this range receive salary step advancement after six months and every 12 months thereafter. An employee hired at anything higher than the entry step of the range will have salary step advancement after 12 months and every 12 months thereafter until they reach the top of the salary range. Each salary step advancement will be approximately a 5% increase.

About Us 

We are a community college district comprised of two accredited colleges, Spokane Community College (SCC) and Spokane Falls Community College (SFCC). In addition to serving a large urban and suburban population in greater Spokane, the district provides educational services to rural communities throughout a 12,302 square-mile region in Eastern Washington. This region includes all of Spokane, Stevens, Whitman, Ferry, and Pend Oreille Counties, as well as portions of Lincoln County.

Both colleges of CCS are accredited by the Northwest Commission on Colleges and Universities and governed by the Washington State Board of Community and Technical Colleges.

About the Continuing Ed Coordinator

Under general direction of the Registration & Office Support Supervisor, this position will assist with the operations of continuing education programs for the Corporate & Continuing Education (CCE). The program coordinator will communicate directly with students, schedule non-credit offerings, upload required documentation to halFILE, and process all non-credit registrations. This position is responsible for assisting with budget coordination for non-credit classes, adherence to the CCE strategic plan, providing recommendations for department related process improvements, and attending various meetings and conferences as required.

CHARACTERISTIC DUTIES AND RESPONSIBILITIES

  • Responsible for coordinating non-credit, self-support, and contract course coordination. Duties include: Researching, developing, building and implementing new courses; construct quarterly and yearly schedules in ctcLink; scheduling instructors, times, days, rooms, communications; order books and supplies; verify correct tuition and fees; prepare and process part time instructional contracts and rosters; prepare and ensure delivery of course evaluations while articulating results into summary letters; brief instructors on policy and procedures; prepare Provide Services Contracts and related paperwork for department; process Recognition of Attendance documentation; devise and recommend new and or revised procedures for efficient workflow; and act as liaison between Spokane Community College (SCC), Spokane Falls Community College (SFCC) and outside agencies. *
  • Input noncredit self-support course coding, personnel information, tuition/fees and district cashiering codes into Student Management System and ctcLink (or other third-party vendor as technology dictates); compile and proof CCE noncredit quarterly course schedule for printing and maintain schedule deadlines. *
  • Responsible and/or support the Registration & Office Support Supervisor for the registration process to include; explaining processes for registrations specific to each program, input and audit student registration information as well as view student cashiering/financial information in ctcLink (PeopleSoft), coordinate payments for non-credit classes, and provide ongoing assistance and follow-through with program participants as required. *
  • Process registrations for all CCE noncredit programs as assigned; phone, fax, mail, web registrations, and walk-ins. *
  • Answer phones greet and direct students and the public. Respond to inquiries regarding programs and procedures in-person, verbally, by mail, or electronically in a timely fashion. *
  • Maintain electronic and manual documents according to records and retention schedule and following FERPA regulations. Generate required reports as needed/requested. *
  • Process registration transactions; adds, drops, and withdrawals. *
  • Perform clerical duties such as maintaining open enrollment record keeping/filing systems and/or database files, returning calls, answering routine questions (in person or by phone), copying materials, research, program development, and maintenance. *
  • Support and coordinate new Open enrollment program development to consist of; research demand and decline data, as well as state requirements and credentials, supply costs, breakeven budget, meet with instructors and stakeholders and, input data and maintain interest lists, monitor email box, and collect data on job placement rates. *
  • Perform complex data and word processing tasks; merging and sorting spreadsheet and database files, uploading/downloading data. *
  • Verify course enrollment to determine to run or cancel courses; order all books and material needed to run courses and create faculty instructional contracts; manage and maintain current and past records of courses tracking monthly, quarterly, and annual revenue; establish and maintain file system in adherence to campus accreditation procedures. *
  • Monitor noncredit program activities to verify they follow state and CCS guidelines; generate reports as needed for Director of Operations on enrollment activities and revenue generation; process non-credit registration forms; calculate and verify correct tuition and fees. *
  • Coordinate and maintain positive and productive relationships with faculty and staff, workforce systems representatives, business/industry, and students/clients in order to ensure the delivery and implementation of quality workforce and continuing education offerings. *
  • Assist with the planning and coordination, implementation and evaluation of Open Enrollment and corporate/contract programs. Continually review and evaluate program delivery and recommend improvements. *
  • Liaise between staff, other departments, administration and external partners. Monitor and facilitate maintenance of staff qualification (CE credits, licensures, registrations).*
  • Perform general office duties including answering phones, completing travel, scheduling meetings, typing letters and memos, distributing mail, processing p-cards, and developing/revising forms. *

  • Comply with district policies, procedures and directives, state and federal regulations, orders and statutes and collective bargaining agreements. *
  • Support and advance the CCS strategic plan, and perform other duties as assigned. *
  • May be required to work alternate shift due to program needs.

MINIMUM QUALIFICATIONS

  • Knowledge of computers and spreadsheets, database and word processing software.
  • Proficient in the use of Microsoft Excel for producing reports.
  • Six (6) months experience working with an adult population in a customer service function.
  • Excellent communication skills both orally and in writing.
  • Proficient in spelling, punctuation, sentence structure, grammar and use of Microsoft Outlook and Word.
  • Ability to effectively organize multiple work assignments, involving competing priorities, to produce work products that are accurate, of high quality and meet deadlines.
  • Proven ability to work within deadlines.
  • Strong and effective presentation skills.
  • Ability to interpret and apply regulations, policies and procedures received from multiple sources.

DESIRED QUALIFICATIONS

  • Associate degree or higher from an accredited institution.
  • Two (2) or more years of relevant experience.
  • Knowledge or experience with Student Management System (PeopleSoft or Campus CE).
  • Knowledge of non-credit continuing education operations and training. 
  • Knowledge of and ability to work with partner agency programs and key contacts in the Spokane WorkSource Career Development System.
  • Microsoft Office Specialist Certification (2010 or higher) or proof of proficiency in Microsoft Word, Excel, and Outlook (2010 or higher).

PHYSICAL REQUIREMENTS

CONDITIONS OF EMPLOYMENT

  • Full-time schedule (12 months/40 hours a week).
  • 6-month probationary period.
  • This position is overtime eligible.
  • Requires local or regional travel.
  • Criminal background check is required.
  • May be required to work alternate shifts.
  • This position is covered under a collective bargaining agreement. Membership is optional.

Medical, dental, life and long term disability insurance benefits are provided as currently administered under Public Employees Benefits Board; WA State Retirement Plan; vacation and sick leave begin to accrue at the rate of one (1) day per month, upon employment. (For positions that are less than full time, leave accruals will be prorated to the percentage of the position.) This position is designated a bargaining unit position and union membership is not a condition of employment. Leave accruals and usage are governed by the WFSE collective bargaining agreement.
